The integration component lets you set up and maintain Appointments, Meetings, Tasks,
Mails, Contacts and Notes in Microsoft Outlook from Metastorm BPM – including recurring
Appointments, Meetings and Tasks.
Now you can seamlessly access and use Outlook information – including Appointments,
Meetings, Tasks, Mail, Contacts and Notes – in any Metastorm process. Outlook actions
and fields can be incorporated in a Metastorm process and data is automatically
synchronised between the two systems.
Simply set up your business rules for a process, and then from within Metastorm
you can:

Display Free/Busy times from Outlook in a workflow

Create, update and delete one-off or recurring Appointments, Meetings and Tasks

Dynamically allocate resources and people based on existing meetings and appointments

Automatically update Calendar and Task information at each step in a Metastorm process
The complete two-way integration between Outlook and Metastorm means you can work
the way you want to work. If you prefer, you can track and manage everything from
within Outlook Tasks, while still making the most of Metastorm’s business process
capabilities.

Outlook Calendar Integration
helps you deliver additional business value from your Metastorm system by saving
time and hassle. For example, you can Create an Appointmentbased
on a date in your Metastorm process. If certain Metastorm conditions are fulfilled
– let’s say a task is completed and the process advances to the next stage – the
appointment in Outlook is updated dynamically to reflect the change.
Any data regarding
the appointment can also be changed, including:

Adding / removing attendees based on business rules

Changing the status of the appointment, for example from ‘Tentative’ to ‘Confirmed’

Resending the item if it has been deleted

- just changing the label colour
Appointments, Meetings and Tasks
as well as request responses can be imported from Microsoft Outlook into Metastorm
